Everything a small business needs - nothing it doesn't

e-Hansa keeps the accounting correct under the hood while staying simple on the surface. Here's what's inside today.

Double-entry accounting

A real general journal with draft and confirmed entries - you can only post when debits equal credits, so your books stay correct. Backed by a proper chart of accounts.

Invoicing that posts itself

Create sales invoices from your articles, with VAT applied automatically. Confirm to assign a number and post the journal entry; record bank or cash payments and track Paid / Partial / Overdue.

Purchases & vendor bills

Record supplier bills the same way you invoice. Confirming posts the expense and the input VAT, so your purchases flow straight into the books and the VAT report.

Warehouse & FIFO stock

Track inventory items. Buying adds a cost layer; selling consumes the oldest first (FIFO) and posts cost of goods sold automatically - with a full stock-movement history.

More than one warehouse

Keep stock in as many places as you actually have, including a supplier's site or a 3PL's - goods bought and left with your supplier are still yours, and can ship to your customer straight from there. FIFO runs inside each warehouse, so a sale can only use what is really in the place it ships from, and each item shows you how much sits where.

Transfers with a waybill

Move goods between your own warehouses in two steps: someone sends them, someone at the other end confirms what arrived, and both names are on the document. In between they are in transit - out of one, not yet in the other. The waybill prints what is on the lorry, with the carrier, the vehicle and two signature lines.

Opening stock & stocktaking

Arriving with a full warehouse? Record what you already own - quantity and cost, no invoices to invent - and it is on the books with the right value. Later, count the shelves: print the sheet, enter what was found, and only the differences post, a surplus at last cost and a shortage at what FIFO says the missing goods cost.

Packing slips & delivery details

Say where the goods actually go - a site, a warehouse, opening hours, who to ring - separately from the address the invoice is posted to, and change it after the invoice is confirmed without reopening a posted document. Print a packing slip from any invoice or order: what is in the box, quantities and weights, no prices, services left off, and the document's own number on it so the box can be matched to the paperwork.

Make a copy

Most of what you issue is a near-copy of something you issued before. Copy any document - a quote, an order, an invoice, a vendor bill - into a fresh draft with the same lines and the same texts, change the customer or a quantity, and save. It works on a paid invoice and a cancelled order just as well as on a draft, and the copy carries none of what the original earned by being issued: no number, no journal entry, nothing paid, and no link back to it.

Round money, if you price that way

Ask for the nearest 5 or 10 cents on quotes, orders and invoices - and only the payable total moves. The net and the VAT stay exactly what the lines add up to, because those are the figures the VAT return reports, so the difference is shown on the document as its own line and posted to its own account. A credit note rounds to the mirror of the invoice it credits, so crediting one in full still zeroes it out.

A memo nobody else reads

Every document has a note that prints and, beside it, one that never does - on any PDF, on any document. “Ring them before sending, they always dispute the first one” has somewhere to live at last. Write it whatever state the document is in: a private remark is no part of what confirming an invoice decided, so adding one never means reopening a posted document.

Your numbering, not ours

Every register numbers itself out of the box - but a company arriving from another system can keep the numbering its customers recognise. Set the format and the number to carry on from, and the next invoice continues where the old software stopped. Start again at 1 every year, month or day, or never. A number already issued is never handed out twice.

Bring the invoices you already issued

Record an old invoice for the books and attach the PDF your previous system printed. The PDF button then opens the document your customer is actually holding - number, layout and wording as they know it - with the e-Hansa rendering one click away.

Invoices & bills as PDF

Print or save a clean A4 document with your letterhead and bank details. For vendor bills you can also attach the supplier's original file and keep it as the source of truth.

Email, your way

Connect your own SMTP server per company and verify it with a test email - the groundwork for sending invoices straight to customers.

One place for payments

Start from a bank account or cash register and record money in or out - settling several invoices or bills in one go, with prepayments and live balances.

Reports & VAT

Balance sheet, profit & loss, trial balance and a VAT report (output vs input), all from your posted entries - by date or period.

A dashboard that means it

Cash on hand, what you're owed and owe, profit year-to-date, overdue and a 12-month revenue-vs-expenses chart - your situation at a glance.

Customers & suppliers

One contact list for who you sell to and buy from - a partner can be both. Per-customer defaults (payment term, VAT, accounts) mean less typing when you invoice.

Products & services

Keep an article catalogue with prices, units and default VAT. Pick one on an invoice line and the details fill in for you.

Search everything

One search box finds invoices, bills, customers, suppliers, accounts and taxes from anywhere - press ⌘/Ctrl-K and jump straight there.

Multiple companies

Run several companies from one login. Each gets its own isolated database - books never mix - and you switch in a click.

Invite your team

Add colleagues to a company by email. They sign in with their own Google account, and invites activate automatically on first sign-in.

Built for your market

Pick a market when you create a company and your chart of accounts, currency and VAT rates are set up for you. Estonia and a generic set today, more to come.

A real tax engine

VAT, fixed fees, exemptions and progressive/bracket taxes - with rate history by date (e.g. Estonian VAT 20 → 22 → 24%), payroll bounds, and GL mapping.

Payment methods

Bank accounts and cash registers, each linked to a ledger account and currency, ready for the money side of your bookkeeping.

Fiscal years

Define your accounting years and keep a clear current period - seeded automatically for new companies.

Estonian & English

Switch the app between Estonian and English from the user menu - independent of your market, and remembered for next time. More languages to follow.

VAT returns that file themselves

Pick a period and the KMD is filled from your confirmed invoices and bills - including the KMD INF appendix, invoice by invoice. Confirming it posts the settlement and closes the period, so nothing can quietly change under a return you have already filed. The form itself is yours to edit when the law moves.

Payroll, Estonian rules included

Employees, salary components and pay runs with social tax, unemployment insurance, funded pension and income tax already set up. Confirm a run to post it, pay the net wages to your people, and settle the taxes through the TSD.

Quote → order → invoice

Send a price offer, turn it into a confirmed sales order that reserves the stock, then into an invoice - without retyping a single line. The purchase side mirrors it: purchase orders track what is on the way in.

Ask for the money first

An advance invoice bills part of a supply before any of it is delivered - and never checks or moves stock, so you can take payment for goods you have not ordered yet. It books the money as an advance rather than revenue, charges the VAT properly, and when the goods go out the final invoice deducts what has already been paid, so the customer is never asked for it twice.

Fixed assets & light production

Buy an asset on a bill and it lands in the register, depreciating month by month with the entries posted for you. Recipes turn components into finished goods, consuming stock at FIFO cost.

Bank reconciliation

Tick your ledger against the bank, or import a camt.053 statement and let e-Hansa match what it can and offer the rest to be added to the books in a click.

An API, when you need one

Create a key under Settings and let your own software read and write one company's data - read-only or read & write, revocable at any time. There is a full API reference, and a key never reaches beyond the company it was made for.

Start from the spreadsheet you already have

Load your products or stock items from an Excel or CSV file instead of typing them in. Match the columns once - it guesses from your headings, in Estonian or English - see exactly what would happen before it does, and rows that are headings or blanks are skipped rather than stopping the import.

Supplier price lists

Keep what each supplier charges, by code, and until when. Import their file or add a line by hand; sending the list again just updates it. See every supplier's price for an item, cheapest valid quote first, or show those prices in place of your own across the whole stock list.
