Stock & warehouse

A stock item is a physical product whose quantity on hand you want to track. Create one under Warehouse → Products / stock (or pick the “Stock item” type on an article).

How stock moves

• Confirming a vendor bill with a stock item receives it - adding a cost layer at its purchase price.
• Confirming a sales invoice with a stock item issues it - consuming the oldest layers first (FIFO).
• You can't sell more than you have on hand.

The accounting (done for you)

Buying a stock item debits Inventory (an asset) instead of expense. Selling it posts the cost of goods sold at the FIFO cost: debit COGS, credit Inventory. So your balance sheet shows real stock value and your profit reflects true margins.

Stock value at a glance

The Products view shows your stock value at cost (the cash tied up in inventory, matching the Inventory account), how many items and units you hold, and the potential sales value with margin - plus a per-item Value column. On Stock movements, pick an item to see its on hand / reserved / on order / available and its asset value.

Every layer belongs to a warehouse. A bill asks where the goods land, an invoice where they ship from, and FIFO runs inside that warehouse - so stock in another building cannot fill this delivery. See Warehouses, Stock transfers and Opening stock & stocktaking.

Loading stock items from a file

Use Import on Products / stock to load items from an Excel or CSV file - a code and a name are enough, prices optional. Only the items are created; quantities still arrive the normal way, on a vendor bill.

Prices at a glance

The list shows both purchase and sales price. Hovering a row gives a price-tag button listing what every supplier charges for that item, and the “Price list prices” tick-box beside the search swaps the purchase price column for the cheapest supplier price valid today. See Supplier price lists.
